# Recap a meeting and follow up

> Turn Granola meeting notes into a recap email and a follow-up with the same participants. Review the recipients and suggested times before anything is sent.

Turn Granola meeting notes into a recap email and a follow-up meeting with the same participants.

## Connectors

## Before you start

Connect Granola, Gmail, and Google Calendar in your chat. Replace Acme with your customer's name.
Other attendees' availability depends on calendar permissions; an unavailable calendar does not mean someone is free.

## Try this prompt

Find my latest meeting with Acme in Granola. Summarize the key decisions and next steps, including owners and deadlines when mentioned.
Draft a recap email to the participants, using the matching Google Calendar event to find their email addresses.
Check my availability and, if possible, the other attendees' next week. Suggest a few slots for a follow-up of the same duration, with the same attendees and an agenda based on the next steps.
Ask me to choose a slot and approve the email, recipients, and meeting details before sending anything or creating the event.

## What to expect

If you haven't connected Granola, Gmail, or Google Calendar yet, Agent will prompt you to connect them directly in the chat.

**1. Review the meeting recap**

Agent summarizes key decisions and next steps, including owners and deadlines
when the notes mention them. Missing details should remain open questions,
not invented commitments.

**2. Check the email and recipients**

Review the draft addressed to participants from the matching calendar event.
Correct any missing details and remove anyone who should not receive the recap.

**3. Choose a follow-up time**

Agent suggests a few slots next week for a meeting of the same duration.
It checks attendees' availability where permissions allow and identifies
calendars it could not verify. Choose a slot and confirm the time zone.

**4. Approve the agenda and sending**

Review the agenda based on the next steps and unresolved questions.
Approve the email, recipients, and event details before Agent sends the recap
or creates the event with invitations.

**5. Confirm the follow-up is scheduled**

Ask for the event link and confirmation that the email was sent.
Creating an invitation does not mean the attendees have accepted it.

## Troubleshooting

> **The meeting or participants are unclear**
>
> Give the meeting title and date, and confirm that the notes are in your
> connected Granola account. Check the matching calendar event's guest list.
> Ask Agent to flag ambiguous meetings or addresses rather than guessing.

> **Other attendees' availability is unavailable**
>
> Calendar permissions may prevent access, especially for external guests.
> Ask for slots based on your availability and confirm them with attendees
> before sending invitations. Specify your time zone and working hours to
> narrow the suggestions.

> **The email or invitation was not sent**
>
> Check which action succeeded and review any permission error. Reconnect the
> affected integration if prompted. Before retrying, check Gmail's Sent folder
> and your calendar to avoid duplicate emails or events.
